Charge

This Committee will facilitate the relationship between emerging and current school counselors and college admission professionals. The focus of this committee is to provide support for professional development activities including conference participation, (ie awarding grants), membership, and continuing education. The committee will work collaboratively with other NYSACAC committees, most notably the professional development and membership committee, to meet annual NYSACAC organizational goals. The co-chairs will propose budget needs and provide reports to the newsletter chair, and executive board. In addition, the chairs will prepare a final report of prior year outcomes and recommendations for the coming year.

Responsibilities of the Chair/Co-Chairs

Responsibilities of Co-Chair coordinating grant solicitation process

  • October-Prepare NYSACAC newsletter article, “watch your mail” for grant opportunity information (October issue).
  • October-November-NYSACAC member visits school counseling program class, mentions grant availability, and provides forms to graduate students.
  • November-Prepare NYSACAC newsletter article, “you should have received materials” for grant opportunity (December issue).
  • Late November-Send high school counselors the grant application and cover letter and encourage them to apply for grants. Additional outreach may be put into place to promote diversity among grant recipients.
  • Early February-Contact colleges that did not respond with grant application, but gave grants in previous years to determine their interest.
  • Mid-February-Match requests for grants with college grants and prepare form with this information. (NYSACAC can provide 10-15 grants as well). This information should also be part of the NYSACAC conference booklet.
  • March-Send thank you letter to colleges that provided grants and notification letters to the school counselors awarded grants. (Emphasize to the school counselors that they still must register for the conference; also suggest they express their thanks to the supporting college).
  • April-Prepare end of the year report for VP for Professional Development and Planning.

Responsibilities of Co-Chair coordinating counselor education outreach

  • August-Submit proposal to NYSACAC Executive Board for Counselor Education Outreach. Request NYSACAC Executive Board volunteers to present to school counseling graduate internship classes. Topics include the basics of college admission, college admission timetables, role of the secondary school counselor in the college counseling process, and information about professional counseling organizations, such as NYSACAC and NACAC.
  • September-Prepare/update contact information on School Counseling departments in New York State. Contact all graduate program directors from these departments to ascertain their interest in having a presenter speak about NYSACAC/NACAC and if they wish, college admissions. Final call for NYSACAC members to fill all available requests for presenters. In addition, presentation packets, pre-coded membership forms and evaluations will be updated and disseminated to NYSACAC presenters.
  • October-November-School Counseling Department visits conducted. Presenters complete an evaluation form and return it to the school college relations chair.
  • March-Wrap up of any additional school counseling visits requested for the spring semester.
  • April-Co-chairs collect remaining evaluations of college visits and speak to presenters. Prepare a final report documenting the process and results (ie track new members and conference grants that may have resulted from these efforts) for the VP for Professional Development and Planning.
