Charge
The charge of the College Fair Committee is two fold: 1. To solicit, gather, and disseminate a directory of annual college fairs in New York to our members. 2. To coordinate the efforts of three national college fairs in New York. In this case, the College Fair Committee strives to improve the overall effectiveness of the college fair program, to ensure computer facilities are available on sight, and to generate topics for breakout sessions.

Organize a letter with the questionnaire outlining who/what/where of a particular college fair program, fee information, and directions to the event and mail to coordinators of previous year’s fairs.
Every 2-3 years survey the membership to determine any additional fairs or changes to existing ones.
Mail letter in mid-May with deadline of first week in June. Make an announcement at the state conference to return the questionnaires on time and distribute the questionnaire to schools who didn’t receive them or respond initially.
Organize fairs chronologically based on dates of programs. The list should include both fall and spring semester programs.
In directory, include a cover letter and a letter of “recommended practices” for participants and include the Statement of Principles of Good Practice (SPGP).
Select most cost effective and timely printer to produce piece with a card stock cover.
Contact our Administrative Assistant to get membership labels and agreement for distribution.
Submit a report to the Vice President for Professional Development and Planning.
Responsibilities for National Fairs
National office has a manual that is used as a guide for organizing committee activity to deal with the needs of the national fair-i.e. publicity, material distribution, hospitality, logistics, security, etc.
NYSACAC College Fair Committee helps coordinate and advise NACAC as needed. The attire of the guides and volunteers is standardized as needed. For example, purchase matching shirts for all volunteers.
Each of the three national fairs in New York State has an on-site coordinator, who helps organize the fair. This coordinator usually finds a successor if he/she drops out. The local coordinators are responsible for conducting committee meetings and accumulating committee expenditures.
Local Committee chairperson/s are in continual communication with the Event Manager of NACAC and meets with this person a day before the program.
Submission of expense report from each national fair to NACAC.
