Charge
The charge of the Newsletter Committee is to produce five newsletters to be mailed to the NYSACAC membership annually.
Responsibilities of the Chair/Co-Chairs
Produce five newsletters annually. Suggested dates include August 1, October 15, December 15, March 1, and April 30.
Solicit committee members to include geographic representation, high school and college, from both public and private sectors. A member from the Media, Marketing, and Technology Committee will serve as a liaison to the Newsletter Committee.
Design a newsletter template. All issues include a “President’s Corner” article, State Conference update, and editorials on counselor related issues. Each issue will have additional articles from committee chairs as necessary. Suggested outlines include:
- August-National Conference information, membership updates, National Fair announcement, General membership meeting minutes from the State Conference, and conference award winners.
- October-Chief Delegate report, Camp College highlights, Summer Institute announcement.
- December-Legislative Forum update, Regional Forum announcements, Development information, Grant announcements, and Professional Development updates.
- March-Legislative Forum review, Chief Delegate report, National Fair Announcement, and Professional Development updates.
- April-Regional Forum review, Camp College announcements, National Fair highlights, Coming Together updates, Professional Development, and Legislative Forum highlights.
Design the newsletter. This entails either hiring a graphic design agency, or using institutional publication services, if available. Identify a printer, again, using either off or on campus services, and access the NYSACAC logo.
Access stationery and envelopes (if necessary) from the Administrative Assistant.
Develop a budget, taking into consideration an estimate of the costs for the graphic design and printing, and mailings (either first class or non-profit). Determine whether costs will be handled through the Institution or NYSACAC.
Produce the newsletter. Steps include:
- Assign topics to committee members for information gathering.
- Gather articles from the members.
- Edit all articles.
- Download all articles to one disc, and submit to the printer.
Order labels from the NYSACAC Administrative Assistant 2 weeks in advance of the mailing.
Mail the newsletter first class to the NYSACAC membership.
